Privacy policy

1. Scope and contact

This policy explains how Life Portrait Films handles personal information in enquiries, on this website and when creating family films. The contracting business details for a commissioned project are included in your quotation.

Rights and obligations that apply under privacy and other applicable laws remain unaffected by this policy.

2. Information involved

An enquiry can include your name, email, optional phone number, relationship to the person being filmed, package interest and message. A commissioned project can also involve interview recordings, photographs, voices, family history, archive material, consent records, addresses, schedules, correspondence, invoices and delivery information.

A life story may reveal sensitive information, including health, cultural or religious matters, or information about other people. Please share only what is needed for the enquiry or agreed project, and discuss especially sensitive material with us directly. Website services may also receive technical information such as an IP address and browser details.

3. How information is collected

Information may be provided directly through conversation, email, planning meetings, interviews, filming or file delivery, or supplied by an authorised family contact. We discuss participant involvement and permissions during planning. Please do not supply someone else’s private records without the necessary authority or consent.

We collect sensitive material only where it is relevant to the project and appropriate consent or another lawful basis has been addressed. Participants should understand the intended audience and be able to decline topics.

4. Why information is used

Information is used to respond to enquiries, prepare a quote, plan and produce the agreed film, coordinate participants, receive feedback, provide deliverables, administer payment and address queries or disputes. It may also be retained where necessary to meet legal obligations.

Personal information is not automatically approved for unrelated marketing simply because someone makes an enquiry or participates in a film. Any use of identifiable footage, photographs or a testimonial for promotion requires separate permission under the Terms.

5. Form service and email

When you submit the contact form, Web3Forms processes your name, email, any optional details and your message, and sends the enquiry to our nominated business inbox. We use these details to respond to you. This website does not save your enquiry in browser storage.

Web3Forms and its hosting, email and spam-prevention providers may process information outside Australia. Its privacy policy describes its operation from India and provider retention practices. Retention depends on the service’s applicable policy and account arrangements. See Web3Forms’ Privacy Policy. Please avoid including sensitive family records in an initial enquiry.

6. Video players, links and website hosting

The site uses YouTube’s privacy-enhanced embedded player. The background video may load automatically on desktop; selecting a film loads its player. YouTube can receive your IP address, browser information and information about playback, and may process data outside Australia. Its services are governed by Google’s Privacy Policy. “Privacy-enhanced” does not mean that no information is transmitted.

This website is hosted through Cloudflare Pages; access and hosting services may process technical connection information. No separate advertising or analytics scripts have been added to this site. External social and other links lead to services with their own policies. We update this policy if our hosting or analytics arrangements change.

7. Who may receive project information

Information may be shared with authorised family contacts, crew or editors, hosting, email, file-delivery and storage providers, professional advisers or other suppliers as needed to carry out the agreed project. We limit disclosure to the relevant purpose and require appropriate confidentiality when others work with private project material.

Information may also be disclosed where required by law. A family relationship does not automatically entitle someone to another participant’s private recordings or personal details. Ask us if you need details of the services involved in your project.

8. Consent, privacy and promotional use

We distinguish consent to record a person, consent to include material in the agreed family film, and permission to publish material for marketing. Those choices should be discussed separately. A private family project does not automatically become public portfolio material.

If you wish to change a permission or raise a concern about material already supplied or published, contact us promptly. We will discuss what can be changed or removed and explain any practical or legal limitations, including copies already shared by other people. Consent arrangements for children or supported participants need particular care.

9. Storage and security

Project information may be held in digital recordings, editing files, correspondence, consent documents and delivery copies. We take reasonable steps to protect it against loss, misuse and unauthorised access, including limiting access to those who need it and using appropriate account and transfer safeguards.

Our website and service providers may process information outside Australia. No internet transmission or storage system is completely secure. Please contact us before sending especially sensitive records so we can discuss suitable handling. If a security incident occurs, we will assess it and take action, including notification where required by applicable law.

10. Retention and deletion

We retain personal information for the agreed project, ongoing enquiries, legitimate record-keeping and applicable legal obligations. The retention period for project media, its starting point and the files covered are specified in your quotation. Longer storage must be agreed; indefinite archival storage is not included.

Emails, invoices, consent records and provider-held data may have different retention requirements. When information is no longer needed, we take reasonable steps to delete or de-identify it where appropriate. Backup cycles and legal obligations may affect when deletion can be completed. You can request deletion using the contact details above. Keep your own copies of completed films.

11. Access, correction and privacy complaints

You can request access to or correction of your personal information, or make a privacy complaint, by emailing hello@lifeportraitfilms.com or calling 0415 700 671. Describe your request and how you would like us to contact you. We may verify your identity and authority before releasing another person’s information.

We will review your request, investigate any complaint, seek further details where needed and respond within a reasonable time. We will explain the outcome and any lawful reason we cannot provide access, make a correction or delete information. If you remain dissatisfied, you may contact the Office of the Australian Information Commissioner where your complaint falls within its jurisdiction.

12. Updates

We update this policy when our information-handling practices change. The current version and its update date are published on this page. Where appropriate, we will communicate material changes directly. Updating this policy does not itself authorise a new promotional use of private footage.
